Tax & Trust Legal Assistant- Toronto

Our Toronto office is currently recruiting for a Legal Assistant in our Tax & Trusts Department with an emphasis on corporate taxation providing a variety of routine legal and administrative duties to one Partner and one Associate including preparation of legal documents and correspondence. 

The successful candidate will be responsible for, but not limited to:
 
  • Preparing legal documents from written, oral and taped instructions and precedents.
  • Drafting routine correspondence on behalf of lawyer.
  • Entering dockets and preparing accounts.
  • Applying proofreading and editing skills to documents and correspondence.
  • Obtaining information and instructions from clients and forwarding to lawyer.
  • Assisting in management of lawyer’s practice, i.e., opening files, arranging meetings, scheduling hearing dates with government bodies and/or representatives, arranging travel and/or accommodations.
  • Managing bring forward system and keeping lawyer apprised of matters in office.
  • Coordinating and monitoring administrative functions to ensure completion of work accurately and within established time frames.
  • Provide support to other lawyers and staff as required and requested.
The successful candidate must have the following education, experience and/or demonstrated skills:
 
  • College Diploma in Legal Administration.
  • A minimum of 5 to 8 years experience.
  • Proficient in MS Office 2007.
  • Advanced technical skills in Microsoft Word, Excel and PowerPoint.
  • Strong administrative and organizational skills as well as above average attention to detail.
  • Ability to be flexible, adapt to change and to work under pressure.
  • Ability to take action, be self directing, innovative and make sound, common-sense decisions.
  • Exceptional communication skills.
  • Ability to work with minimal supervision as well as part of a team.
  • Attention to detail and above average technical skills are prerequisites of this position.

Real Estate Legal Assistant - Toronto

Our Toronto office is currently recruiting for a Legal Assistant in our Real Estate Department specializing in commercial lending transactions, who will be responsible for providing a variety of legal and administrative duties to the lawyers and clerks they support.

Applications Analyst - Toronto

Our Toronto office is currently recruiting for an Applications Analyst in our I.T. Department, reporting to the Director of TechnologyThis role requires a candidate who has a demonstrated ability to support and maintain a complex application environment. The ideal individual will be team-oriented, results-oriented and able to work well with people at all levels of responsibility within the Firm.

The successful candidate will be responsible for, but not limited to:
 
  • Configure and maintain the standard MS Windows desktop image.
  • Configure and maintain the MS Office suite of applications and document management system, related add-ins, and 3rd party application integration.
  • Design, test, document and implement other Firm approved applications and upgrades.
  • Develop and update detailed project plans for application deployments.
  • Maintain the Citrix XenApp environment and deployed applicationsProvide 2nd level support for application issues escalated by the Help Desk.
  • Liaise with vendors re problem investigation and application upgrades.
  • Maintain and audit application licensing compliance.
  • Review and recommend new applications and technologies as requested.
The successful candidate shall have the following education, experience and/or demonstrated skills:
        
  • 5 years or more experience implementing and administering enterprise applications; related college diploma an asset.
  • 2 years or more experience with MS SQL Database Administration.
  • Strong knowledge of programming languages, including Visual Basic (VBA) and XML with the ability to create and debug scripts.
  • Experience with Microsoft IIS and web application development, including ASP and .NET.
  • Working knowledge of the Microsoft Office Suite including Word, Outlook and Microsoft Project.
  • Working knowledge of Active Directory and Group Policy.
  • Experience with a legal Document Management Systems.
  • Experience with software and update deployment using Microsoft SCCM.
  • Experience with various legal applications an asset, including CT Summation.
  • Experience with Microsoft Sharepoint.
  • Experience with remote access technology including Citrix XenApp, RSA SecurID.
  • Excellent verbal communication skills and a demonstrated ability to create technical documentation.
  • Excellent organizational and time management skills.

Accounting Manager, Client Services - Toronto

Our Toronto office is currently recruiting for a Manager, Client Services, in our Accounting Department reporting to the Chief Financial OfficerThis is a key role for the Firm in the successful management of cash inflows.

The successful candidate will be responsible for, but not limited to:

  • Managing a team of 8 responsible for all aspects of the client billing, accounts receivable and payment collection functions.
  • Recommending and implementing revisions to procedures and policies in these areas to continuously improve efficiencies and the days outstanding of accounts receivable and unbilled time and costs.
  • Reporting to partners and executive management on a regular and as needed basis. 
The successful candidate must have the following education, experience and/or demonstrated skills:
 
  • Bachelor degree or diploma in Business Administration or related discipline; completion or near completion of an accounting designation, preferred.
  • Minimum ten (10) years management experience in a professional service firm; legal services preferred.
  • Advanced skills in Microsoft Office 2007, particularly Outlook, Word and Excel.
  • Comprehensive knowledge of ELITE Enterprise (billing, accounts receivable, cash receipts) accounting application.
  • Experience with TimeKM and ARCS, an asset.

Senior Trust & Bank Clerk - Toronto

Our Toronto office is currently recruiting for a Senior Trust & Bank Clerk, in our Accounting Department reporting to the Controller. The incumbent is responsible for the day to day Trust functions for all lawyers of the Firm, including liaising with various banking staff. In addition, this person is responsible for the preparation of monthly bank reconciliations for non-Trust bank accounts.

The successful candidate will be responsible for, but not limited to:

  • Trust functions and transactions including but not limited to:
o   Open and setup Trust accounts for new matters;
o   Prepare daily Trust deposits;
o   Post cash receipts;
o   Disburse funds by cheques, draft or wire;
o   Invest funds with direction from lawyer;
o   Track and maintain investments;
o   Prepare various Trust reports from Elite;
o   Work in a multi-currency environment.
 
  • Liaise with banks to ensure transactions occur in a timely and efficient manner.
  • Apply online banking tools effectively.
  • Maintain client investment records.
  • Issue T5 and NR4 slips to clients.
  • Liaise with assistants and lawyers to complete various transactions, answer questions and solve problems.
  • Collect information and prepare monthly bank reconciliations for bank accounts, including preparing and entering journal entries resulting from the bank reconciliation process.
  • Deal with stale-dated client Trust funds.
  • Various year end accounting closing responsibilities.
  • Other duties as assigned from time to time. 
The successful candidate must have the following education, experience and/or demonstrated skills:
 
  • Post secondary education, preferably with courses in accounting.
  • A minimum of four years working experience in law firm trust accounting.
  • Proficient in Microsoft Office 2007, particularly Outlook, Word and Excel.
  • Experience with Elite software or a similar professional services accounting packages is preferred.
  • Knowledge of basic and electronic banking.
  • Familiar with various provincial Law Society rules and regulations regarding the handling of client Trust monies.
  • High level of attention to detail, superior organizational skills and communication abilities, both oral and written.
  • Commitment to a high level of performance and is able to work in a demanding environment on several transactions at one time and meet strict deadlines.
  • Able to identify problems, come up with and take responsibility to implement solutions.

Junior Accounts Payable Clerk - Toronto

Our Toronto office is currently recruiting for a Junior Accounts Payable Clerk, in our Accounting Department reporting to the Accounts Payable Supervisor. This position will be responsible for various accounting processes related to Accounts Payable and supporting the AP group.

The successful candidate will be responsible for, but not limited to:

  • Upload on a daily basis, files from service providers for various costs into the Elite accounting systems including but not limited to Terraview, OnCorp, courier services and copy charges.
  • Managing, investigating and correcting all rejected upload items.
  • Posting manual disbursements and expenses into accounting systems.
  • Sending reminders, collecting and reconciling cash payments relating to charge backs.
  • Working with various staff members to collect information and provide information on an ad hoc basis.
  • Assisting A/P Clerks to enter data for various levies and expense reports and posting journal entries.
  • Other Accounting duties, as required. 
The successful candidate must have the following education, experience and/or demonstrated skills:
 
  • High School Graduate – good math skills, accounting/bookkeeping courses an asset.
  • 2 years working experience in an office/administrative role – legal or professional services an asset.

ELITE Enterprise Analyst and Programmer - Toronto

Our Toronto office is currently recruiting for an ELITE Enterprise (“EE”) Analyst and Programmer, in our Accounting Department reporting to the Controller. This is a full time contract position (9-12 months).  This role is responsible for development, implementation  and deployment of features and functions of EE and ELITE Webview (“EW”), primarily relating to the creation of and/or enhancement to reports / email advisories of operational and financial information. The successful candidate will work collaboratively with the Financial Applications Administrator and Analyst, who is part of the Finance/Accounting team as well as the Firm’s IT Group.

The successful candidate will be responsible for, but not limited to:
  • Supporting and maintaining certain features and functions in EE and EW, and as needed ARCs, Redwood Analytics, ELITE DocStudio.
  • Supporting regular monthly reporting and ad hoc reporting for various managers across the Firm.
  • Creating and recognizing training opportunities for other members of the accounting department on key functions and duties related to report generation.
  • Assisting with other projects, as required.
The successful candidate must have following education, experience and/or demonstrated skills:
 
  • University or College degree in computer science or related program, or equivalent work experience.
  • Programming of SQL queries.
  • Experience creating/deploying reports and information from EE either through EW or user defined custom queries/reports, including creation and use of data warehouses.
  • 3 or more years experience working in a similar role; experience in a law firm, an asset.
  • Knowledge of accounting, including financial reporting, an asset.
  • Advanced skills in Microsoft Office 2007, particularly Outlook, Word and Excel.
  • Exceptional organizational skills, ability to prioritize and meet deadlines.
  • Ability to work independently and as a participative member of the Finance/Accounting Team.
